Are photos of receipts valid for HMRC?
Updated: 14/07/2026 · 5 min read
Yes — a clear photo or scan of a receipt is a fully valid record for HMRC. UK tax law has allowed digital record-keeping for years, and Making Tax Digital actively pushes it. Once you have a good copy, you can usually throw the paper away.
What HMRC actually says
You may keep records on paper, digitally, or in software. The copy must capture the whole document (both sides if anything is printed on the back) and remain readable for the entire retention period. The few exceptions where originals are needed include documents showing tax deducted at source.
Why a photo often beats the original
- Thermal receipts fade in 1–3 years — the requirement runs ~7
- Paper gets lost: van, pocket, washing machine
- A digital copy is timestamped, backed up, and findable in seconds
- MTD requires digital records anyway — do it once, properly
How to capture receipts well (checklist)
- Photograph immediately after purchase, before it fades or vanishes
- Whole document in frame — no cropped totals or dates
- Check legibility: vendor, date, amount, VAT
- Keep them in one system, not scattered through your camera roll
Automation beats manual typing
A photo is half the job — the data still needs to reach your records. AI extraction (what Reclaim Day does) closes the loop: you snap the receipt, and the vendor, amounts, VAT, date and category are read and filed automatically. The original image stays attached as evidence, and your records are MTD-ready.
Every receipt captured, categorised and audit-ready.
Snap a photo or forward the email — Reclaim Day reads the vendor, amounts, VAT and date for you.

Will HMRC accept a photo of a receipt in an enquiry?+
Yes — provided it is complete and legible. A clear digital copy has the same evidential value as paper.
Can I throw away paper receipts after scanning?+
Usually yes. Keep originals only for the limited exceptions, such as documents showing tax deducted at source.
What about faded thermal receipts?+
If it is already unreadable it proves nothing — which is exactly why you should photograph receipts on the day of purchase.
Is my camera roll good enough?+
Legally, yes. Practically, a dedicated system extracts the data, categorises it and keeps copies safe for the retention period — your camera roll does none of that.
