Terms of Service

Last updated: 25 September 2026

These Terms govern your use of Reclaim Day. By creating an account or using the service you agree to them. Please read them carefully — they include limits on our liability.

1. Who we are

Reclaim Day is run by Northstar Infinity Works Ltd, a company registered in England & Wales (company number 17326480), registered office Building 2, Building 2, Marlins Meadow, Watford, England, WD18 8YA (“we”, “us”, “our”). Faktury.co.uk and Reclaim Day are trading names of Northstar Infinity Works Ltd (company number 17326480). Contact: help@reclaimday.com.

2. Who the service is for

The service is supplied only to businesses and self-employed people, for use in their trade, business or profession. It is not offered to consumers. By accepting these Terms you confirm that you are using it for your business or self-employment.

If you register on behalf of an organisation, you confirm that you are authorised to bind it.

3. The service

Reclaim Day lets you upload invoices and receipts and uses AI to extract structured data (vendor, amounts, VAT, dates, line items, categories), which you can review, organise and export. We may add, change or remove features over time.

4. Accounts

You must provide accurate information and keep your login credentials secure. You are responsible for activity under your account. We recommend two-factor authentication. You must be at least 18 years old.

5. Acceptable use

You agree not to: use the service unlawfully; upload content you have no right to; attempt to break, overload, reverse-engineer or gain unauthorised access to the service; or use it to build a competing product. We may suspend accounts that breach these Terms.

6. AI output — accuracy & no advice

Data extraction is automated and may be incomplete or incorrect. You are responsible for checking extracted data before relying on it. The service is not accounting, tax, legal or financial advice and is not a substitute for a qualified professional. You remain responsible for your own tax filings and records.

7. Free trial, fees & renewal

The free trial never turns into a paid plan by itself: a paid plan starts only when you choose one and pay.

Paid plans are billed in advance, monthly or annually, and renew automatically at the end of each period until you cancel. You can cancel at any time in the app (billing settings); cancelling stops the next renewal and the plan stays active until the end of the period already paid for. Plan changes take effect as shown at checkout (prorated where applicable). You are responsible for any applicable taxes.

8. Price changes

We may change prices for future billing periods. We will e-mail you at least 30 days before a new price applies to you. If you do not accept it, you can cancel before that date and you will not pay the new price.

9. Cancellation & refunds

Because the service is supplied only for business use, the 14-day cancellation right that consumers have under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013 does not apply.

Payments for a period that has started are not refunded, except where: (a) we materially fail to provide the service and do not put it right within a reasonable time; (b) the law requires a refund; or (c) we choose to refund as a goodwill gesture. A full refund of a period’s payment ends that period. While a payment is disputed with your card issuer (a chargeback), we may pause the paid plan until the dispute is resolved.

If, despite section 2, you are in fact a consumer, you keep all your statutory rights, including the right to cancel within 14 days of purchase; if you asked us to start the service straight away, you pay only for the part of the period used.

10. Your content & data

You retain ownership of the files and data you upload. You grant us a licence to host, process and transmit them solely to provide the service (including sending documents to our AI provider for extraction). We handle personal data as described in our Privacy Policy and in section 11.

11. Data processing (UK GDPR Article 28)

The documents you upload contain other people’s personal data (for example the names, addresses, contact details, VAT and bank account numbers of your customers, suppliers and staff). For that data you are the controller and we are your processor. This section is the processing contract required by UK GDPR Article 28(3).

  • Subject matter and duration: storing, reading, organising and exporting the data in your documents and, when you switch it on, sharing it with your accounting firm, for as long as your account exists. Data subjects: your customers, suppliers, staff and other counterparties. Data: whatever the documents contain.
  • (a) We process the data only on your documented instructions — these Terms and the settings you use — unless the law requires otherwise; we will tell you if so, unless the law forbids it.
  • (b) Everyone with access to the data is bound by confidentiality.
  • (c) We apply the Article 32 security measures described on our Security page.
  • (d) We use the sub-processors listed in section 4 of our Privacy Policy; you give general authorisation for them. We will e-mail you at least 14 days before adding a sub-processor that would handle your documents; you may object and close your account. We bind every sub-processor to the same obligations.
  • (e) We help you respond to data subjects (export and deletion in the app, help on request) and with your obligations under Articles 32 to 36.
  • (f) We will notify you of a personal data breach without undue delay.
  • (g) At the end: deleting your account erases the documents and files at once; you can export them first.
  • (h) We make available the information needed to demonstrate compliance and allow audits — first by documents and questionnaire, once a year, on 30 days’ notice.
  • Transfers outside the UK are described in section 5 of our Privacy Policy. You confirm you have a lawful basis to upload this data.

12. Intellectual property

We and our licensors own all rights in the software, design and content of Reclaim Day. We grant you a limited, non-exclusive, non-transferable right to use the service while these Terms are in force. You may not copy, resell or sublicense the service.

13. Third-party services

The service relies on third parties (hosting, database, AI, payments, e-mail). We are not responsible for their acts or outages, though we choose reputable providers and bind them appropriately.

14. Availability

The service is provided on an “as is” and “as available” basis. We do not guarantee it will be uninterrupted, error-free, or that data extraction will be accurate. We may perform maintenance or change or withdraw features.

15. Disclaimers

To the maximum extent permitted by law, we exclude all implied warranties, terms and conditions (including satisfactory quality, fitness for purpose and accuracy). Nothing in these Terms limits rights that cannot be limited by law.

16. Limitation of liability

We are not liable for loss of profits, revenue, data, goodwill, or for any indirect or consequential loss. Our total liability arising from or in connection with the service is limited to the total fees you paid us in the 12 months before the event giving rise to the claim. Nothing limits liability for death or personal injury caused by our negligence, fraud, or any liability that cannot be limited by law.

17. Indemnity

You agree to indemnify us against claims, losses and costs arising from your breach of these Terms, your content, or your unlawful use of the service.

18. Suspension & termination

You may stop using the service and delete your account at any time. We may suspend or terminate access if you breach these Terms or to comply with law. A free account with no activity for 12 months may be deleted after a warning e-mailed 30 days in advance (Privacy Policy, section 6).

19. Changes to these Terms

We will tell you about material changes by e-mail or in the app at least 30 days before they take effect. If you do not agree, you can cancel and delete your account before then. Price changes follow section 8.

20. Governing law

These Terms and any dispute are governed by the laws of England & Wales. The courts of England & Wales have non-exclusive jurisdiction.

21. General

These Terms are the entire agreement between us. If any provision is unenforceable, the rest remain in force. We may assign these Terms to a successor; you may not assign them without our consent. No failure to enforce is a waiver. Neither party is liable for events beyond its reasonable control. Notices to us: help@reclaimday.com.
