How AI invoice data extraction works

Older OCR tools converted an image into raw text and then guessed which fragment was a date or an amount using brittle templates. Modern AI models read the whole document the way a bookkeeper does — understanding layout and context — and return structured data: vendor, invoice number, dates, line items, VAT breakdown, totals and even an expense category.
From pixels to structured data
You submit a photo, scan or PDF. The model analyses the full document — text, positions, tables — and outputs structured fields. Because it understands context, it can tell a due date from an invoice date, net from gross, and a supplier’s VAT number from the buyer’s, even on layouts it has never seen.
What a good system extracts
- Vendor name, address, VAT number
- Invoice number, issue date, due date
- Currency, net, VAT amount and rate, gross total
- Line items with quantities and unit prices
- A suggested expense category (e.g. Materials & Tools, Travel & Transport)
- Payment status hints (paid / unpaid) where stated
Accuracy, honestly
On clear documents, extraction accuracy is very high; crumpled or faded thermal receipts are hardest — which is a reason to photograph them early, not a reason to avoid automation. A serious system keeps the original image attached to every record, flags likely duplicates, and lets you correct any field manually — the human stays in control, the machine does the typing.

Is AI extraction acceptable to HMRC?+
